Information

Dorothee is responsible for all future trip applications. Please send her all the necessary documents (travel costs, accommodation costs, conference fee, etc.) two weeks in advance when traveling within Germany, and five weeks in advance when traveling abroad. Also, please tell her all the necessary information to enter in the Google Form (your contribution to the conference/workshop/meeting, etc.).

Below, you will find some more useful information. Please read them carefully!

  • Plan your business trip

    Plan your trip carefully:

    1.  What’s your purpose?
    2.  What’s the most economical way to get there?
    3.  Will you need an overnight stay?
    4.  If so, where can you find reasonably priced accommodation?
    • Please discuss your plans and estimated costs with Bas and/or your supervisor. Note: the annual budget is 1,200€ per person.
    • Please communicate your plans at least two weeks in advance for trips within Germany, and five weeks in advance for trips abroad.
  • Important Travel Guidelines
    1. Transport:
    •  By Car: If transporting equipment, using a car is acceptable. FSU has a limited vehicle fleet—book early. Contact: Daniela Sommer (+49 3641 9-414215, fahrwillig@uni-jena.de).
    •  By Train: Second-class tickets are reimbursed.
    •  By Plane: Allowed only if cheaper than the train or significantly faster. Justify your request before booking. No approval means no reimbursement by the FSU.

Important: Do not travel until you receive an email confirming: "Business trip application approved."

    2.  Accommodation:

Note: Once your trip has been confirmed by the travel expenses department, you can't change any of your entries afterwards!
